Privacy Notice

HygiCo Newsletters

Instaclean, which shall hereinafter be referred to as HygiCo, is a Portuguese company that operates nationwide, providing professional clothing rental and cleaning services, having initiated operations in 2016. This privacy notice applies to personal data processed for the purpose of subscribing to HygiCo newsletters. In providing HygiCo with their personal data, data holders acknowledge and declare that:
  • They are of legal age;
  • They are thereby providing their consent for their personal data to be collected, handled and processed under the terms described herein.

a) Identification of the entity responsible for the processing of personal data

Instaclean, Lda. (hereinafter referred to as HygiCo), with registered headquarters at Estrada Nacional 356, 39-A, Casal do Quinta, 2440-025, Batalha registered in the Coimbra Commercial Registry Office, under registration number and as legal entity no. 513920218.

b) Terms and conditions

Subscription to our newsletter service is optional. By subscribing, users are providing their consent to receiving emails from us. Our newsletter service aims to share HygiCo news and publications.

c) Frequency

Newsletters will generally be sent monthly unless technical and/or client-related issues dictate otherwise.

d) Collection of information

HygiCo collects users’ personal information using the newsletter signup form on the company’s website. While some information is considered mandatory on the form, other data may be provided optionally.

In order to fulfil all our obligations, personal information must be processed to validate your registration in the database used for newsletter recipients.

Not providing the information required may prevent, delay or block a user’s registration process and, as a consequence, prevent them from receiving publications.

e) Information we request from you

The categories of information we may ask you for include:
  • Personal data – Mandatory – (Name);
  • Contact information – Mandatory – (Email address);

f) How we use your personal information

We use personal information gained from newsletter sign up forms to:
  • Keep subscribers up to date with Hygico’s Services;
  • Disclose updated and relevant information in matters related to HygiCo’s operations.

g) Your rights regarding your personal data

We ask that you inform us of any changes in the information we have about you, to ensure we have correct, up to date information in our systems.

You can object to your personal data being processed at any time. Upon receiving an objection, we cease processing immediately. Withdrawal of consent does not affect the legality of any previous processing of your data while consent had been granted or any other legally required processing that may have taken place.

You may also request that the processing of your personal data be restricted, whenever:

  • You contest the accuracy of your personal data;
  • Your personal data is unlawfully processed, i.e. for purposes not communicated in this privacy notice;
  • We no longer need your data, for example, because we have stopped sending out publications;
  • You have exercised your right to object to your data being processed.

Subscribers have the right to delete their information from the subscriber database by cancelling their subscription to newsletters at any time.

h) Sharing of information

As a rule, HygiCo does not transfer or share information regarding personal data with any third parties unless required to do so by law or according to regulatory requirements.

In the event of the Company subcontracting a service provider to process their personal data, all necessary measures will be taken to ensure that the service provider ensures all possible measures are taken to safeguard the security and confidentiality of all personal data they may have access to. HygiCo shall also ensure that service providers act exclusively in accordance with instructions provided by HygiCo and stated in writing, in the contract entered into by both parties.

i) Security of personal data

The company commits to employing the best techniques and organisational and security measures required to protect personal data by preventing it from being lost, misused, altered or destroyed, ensuring its integrity, availability and confidentiality. All employees are strictly required to ensure that all personal data is kept confidential. Only authorised personnel who have a duty of secrecy and confidentiality shall be granted access to this information.

j) Transfer of information

Personal information may be transferred, filed or processed in a country other than the one in which it was collected and from which the data subjects originate. In such cases, any transfer of data is carried out in accordance with GDPR requirements. In the event that data is transferred to a country outside the European Union, adequate guarantees will always be put in place to safeguard all personal data, in the use of legally binding rules such as standard clauses approved by the European Commission. k) Retention of personal data

Data will be retained for the amount of time necessary for the purpose communicated in this notice. Data shall be erased when a subscription is cancelled, or in the event a user exercises their right to object to or limit the processing of their data.

Our Privacy Policies and Notices are reviewed regularly, and any changes posted on this website.
